Information we collect

Contact information

Names, roles, email addresses, and mobile numbers provided when you request a website analysis, start a trial, or contact support.

Clinic configuration data

Website URLs, call-handling rules, office hours, appointment types, escalation contacts, and other inputs gathered through the setup chat and review forms.

Usage & diagnostic data

Queue metrics, API responses, error logs, analytics events, and test-call outcomes captured to keep the service reliable and secure.

Communication preferences

Consent flags (email/SMS), forwarding choices, and lifecycle states needed for transactional reminders (analysis ready, activation checks, test-call prompts).

Billing & account history

Stripe customer IDs, subscription selections, invoices, payment status, and Fast-Start activation records maintained by our payment processor.

How we use information

  • Prefill and operate your AI receptionist so you can review a usable draft immediately.
  • Send purely transactional notifications (email/SMS) tied to the receptionist draft, onboarding steps, forwarding confirmations, and account security events you requested.
  • Monitor system health and investigate issues so the analysis, receptionist, and automation workflows stay available.
  • Measure legitimate product usage (trial start, test call, activation, lifecycle events) to improve onboarding speed and conversion performance.
  • Meet compliance and legal requirements (security reviews, regulator inquiries) using only the data necessary for that purpose.
  • Process subscription, Fast-Start, and metered payments via Stripe.

We do not sell personal information, clinic data, or conversational transcripts. We also do not share contact details with third parties for their marketing or promotional campaigns. Mobile information and messaging consent are not shared with third parties or affiliates for their marketing or promotional purposes.

SMS & mobile consent

  • SMS is opt-in and tied to a specific request (analysis-ready alert, activation reminder, or trial milestone).
  • Message frequency varies based on your activity, but typically stays at 1–2 messages per analysis request plus optional activation reminders.
  • Message and data rates may apply.
  • Reply STOP to opt out of SMS at any time. Reply HELP or email hello@ondial.me for support.

Data retention & access

  • Drafts, receptionist configurations, analytics events, and SMS logs are retained only as long as needed to operate the product or meet legal requirements.
  • You can request access, updates, or deletion of your data by emailing hello@ondial.me.
  • We protect data with encrypted transit/storage, role-based access, environment secrets, and logging on all production systems.

Third parties

Infrastructure & hosting: Cloudflare Pages, Supabase, and managed databases.

Payments: Stripe for subscriptions and one-time activations.

Email: Resend for transactional email delivery.

SMS: Twilio for transactional messaging only.

Each provider only receives the minimum data required to deliver the service you initiated. None of them may use your data for their marketing purposes.
